Payroll Administrator

Our Payroll Administrator will be responsible for preparation and processing of payroll for over 100 employees (primarily in PA), as well as partner with Accounting and Human Resources on various employee-related initiatives. This is a part-time role about 20 hours per week working on-site in our Exton, PA office - M-F for about 4 hours per day.

Responsibilities:

  • Responsible for the preparation and processing of bi-weekly payroll for over 100 employees; review and ensure the accuracy of approved timesheets.
  • Responsible for the coordination efforts between payroll, human resources, finance and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g. labor" home" work, overtime, leave balances, headcount, and retirement contribution reports)
  • Handle the administration of the electronic timekeeping system. Setup each employee, valid programs for each employee's charges, and adherence to FLSA; monitor submissions of approved timesheets, ensure valid data transfers to/from payroll service
  • Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to the American Payroll Association policy including compliance with federal/state/local regulations
  • Process accurate and timely year-end reporting (W2, W2c, 1099, etc.).
  • Audit benefits & Workers Compensation and ensure employee deductions are coded accordingly (per state and federal law)
  • Research what payroll taxes are required and register for those taxes
  • Research and understand what is considered taxable income for any new state
  • Verify employee benefits enrollment(s), and deduction.
  • Verify 401k plan administration.
  • Assist in accounting duties as needed.
  • Additional follow up activities include benefits administration (401k file transfers, processing HSA payments etc.)

Qualifications and Experience:

  • Bachelor’s Degree Business Administration/Finance required, Accounting Degree preferred
  • 3+ Years of experience working in a payroll function with multi-state experience and knowledge of federal and state tax requirements
  • Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system
  • Ability to maintain confidentiality and exercise extreme discretion
  • Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
  • Strong organizational skills, and the ability to work under pressure
  • Ability to handle and prioritize multiple tasks and meet all deadlines
  • Able to provide world-class customer service to our employees
